ADM 5 Phases for Client Projects/Engagements

Initiate

In the initiation phase of the project, we identify the need, problem, or opportunity of the organization and we brainstorm ways on how to meet those needs. During this phase, we figure out an objective for our client’s project and identify the major deliverables for the project.

Plan

In the planning phase, the project is break down into smaller tasks which are distributed to different teams; and a completion schedule must be planned and prepared to follow. This phase also includes scope and budget, work breakdown schedule, Gantt chart, risk management.

Execute

In the execution phase, it turns plans into actions where the work of each team member must be on track, organized, and the work is done according to plan. This phase includes the following:

  • Creating of tasks and organizing workflows – Assigning granular aspects of the projects to the appropriate team members; making sure team members are not overloaded with tasks.
  • Briefing team members on tasks – Explaining tasks to team members, providing necessary guidance on how they should be completed, and organizing process-related training if necessary.
  • Communicating with team members, clients, and management – Providing updates to stakeholders at all levels.
  • Managing budget – Monitoring spending and keeping the project on track in terms of assets and resources.

Control

This phase is about measuring the progress of the project and overall performance to see if everything aligns with the project management plan or not. We use key performance indicators (KPIs) to determine if the project is on track or not:

  • Project objectives: Measuring if a project is on schedule and budget is an indication that the project will meet the objectives.
  • Quality Deliverables: This determines if specific task deliverables are being met.
  • Effort and Cost Tracking: This determines if a project will meet its completion date based on current performance.
  • Project Performance: This monitors changes in the project by taking into consideration the amount and types of issues that arise and how quickly they are addressed.

Close

This is the last phase of the project which represents the completed work on a project. In this phase, the final deliverables, release project resources, and determine the success of the project. Also included in this phase, is evaluating what did and did not work in the project.
